Pushing Prospects to HubSpot
You have 4 options for sending a prospect to HubSpot, depending on where you are in Interceptly.
From the Inbox Tab
Open the prospect's card in the "Inbox" tab.
Select the three-dot menu at the top-right of the card.
Select "Push to HubSpot."
From the Prospects Tab
Navigate to the "Prospects" tab.
Select the checkbox next to one or more prospects.
Select "Push to CRM" from the action bar.
Choose "HubSpot" from the dropdown.
As a Campaign Step
Add a "Push to CRM" step in Pipeline Builder to push prospects automatically when they reach that point in a campaign sequence. No manual action is needed once the step is configured.
Via Activity Sync
Activity Sync sends prospects to HubSpot automatically based on their status, without requiring a "Push to CRM" campaign step. See the section below for setup instructions.
Configuring Activity Sync
Activity Sync monitors the prospect statuses you define and pushes matching prospects to HubSpot automatically.
Navigate to "Integrations" > "HubSpot" and select "Manage".
Toggle "Prospects Push Settings" andĀ "Activity Sync" to on.
Select the prospect statuses that should trigger a sync.
š” Tip: The sync may take up to 20 minutes to complete after a status change.
How Activity Sync Behaves
Tracking begins from the moment you enable the feature. It does not apply to historical activity.
Only prospects inside active or paused campaigns are included.
If a prospect moves to a status that is not selected, Interceptly stops logging their activity.
If a campaign is deleted or a prospect is removed, Activity Sync stops for that record.
Managing the Lead Source Field
The "Lead Source" field controls whether HubSpot receives a lead source value when prospects are pushed. You can toggle this in your HubSpot integration settings or choose at the time of a manual push.
šØ Note: If HubSpot's "Lead Source" property is not configured as single-line text, syncing it will cause errors. Disable the field sync or update the property type in HubSpot first.

Q: Does Activity Sync include prospects from before I enabled it?
A: Activity Sync does not include historical activity. Tracking begins from the moment you turn the feature on, so only status changes that occur after enabling will trigger a sync to HubSpot.
Q: What happens if I push the same prospect to HubSpot more than once?
A: Interceptly matches prospects to existing HubSpot contacts by email address. If a contact already exists in HubSpot, the push updates that record rather than creating a duplicate.
Q: Can I push prospects to HubSpot without a campaign?
A: Yes. You can push individual prospects manually from the "Inbox" tab or "Prospects" tab at any time, without needing an active campaign or a "Push to CRM" campaign step.
Q: What happens to Activity Sync if a campaign is deleted?
A: If a campaign is deleted or a prospect is removed from a campaign, Activity Sync stops tracking that prospect. The prospect's existing HubSpot record is not affected.
Q: Why is my Lead Source field causing sync errors?
A: HubSpot requires the "Lead Source" property to be configured as single-line text. If it is set to a different property type, syncing the field will fail. To resolve this, either update the property type in HubSpot or disable "Lead Source" sync in your Interceptly integration settings.
