How to Create and Add Labels

Follow these steps to create & add labels

Written by Lee

What A Label Is

A label is a tag you apply to a prospect or a template to categorize it. Labels make it easier to group items and find them later without relying on memory or manual notes.

Labels can be added to inbox prospects and templates.

Why Labels Matter

Labels help you stay organized at scale. When you label prospects and templates consistently, you can filter faster, prioritize follow-ups, and keep your outreach content structured across campaigns.

They are an essential way to organize your data, content, and leads inside Interceptly.

💡 Tip: Labels are a major time-saver. Use them in inbox messages, templates, and customer records to quickly filter and organize your leads and content.

How to Create Labels

  1. Open "Workspace Settings" by selecting the down arrow under your name in the top right of the platform.

  2. Select "Labels".

  3. Select "+Create New Label".

  4. Choose your label type:

    • "Profile" for labeling prospects in the inbox.

    • "Template" for labeling message templates.

  5. Enter your label name.

  6. Choose a color.

  7. Select "Save".

💡 Tip: If you want to manage replies and prospect status in your inbox, use "Profile" labels.

How to Add a Label to a Prospect

  1. Select "Inbox" from the left menu.

  2. Open the prospect conversation.

  3. Select the "House" icon on the right side to open inbox tools.

  4. Select "Labels".

  5. Select the label you want to apply.

How to Filter Prospects Using Labels

Filtering by labels helps you quickly switch between groups and focus on the prospects that matter most.

  1. In the inbox, select the "Filter" icon on the left.

  2. Select "Labels".

  3. Select the label you want to filter by.

How to Export Prospects with Labels

Labels stay attached to each prospect when you export them, which makes sorting and filtering in tools like Excel much easier.

For example, after exporting, you can:

  • Filter by label to isolate a campaign group.

  • Sort by label to separate leads, customers, and follow-ups.

  • Share a labeled list with your team without extra cleanup.

🎓 Note: Labels become even more valuable over time, because they build a consistent structure across inbox management and reporting.

Best Practices

  • Use a clear naming system like “Campaign - Q1” or “Status - Hot Lead”.

  • Keep labels consistent across your team to avoid duplicates like “Hot” and “Hot lead”.

  • Use "Template" labels to group templates by industry, offer, or campaign type.

  • Apply labels as soon as you identify intent, so your inbox stays clean.

🚨 Important: Avoid creating too many labels. If you have dozens, filtering becomes harder, not easier.
